Job Overview:
The Finance and Admin Associate will play a key role in supporting the finance and administrative functions of the organization. This position will be responsible for assisting with financial tasks, maintaining administrative systems, and ensuring smooth operations within the organization.
Key Duties and Responsibilities:
Finance
- Support the project program focal in overseeing and managing project.
- Help in collecting and entering data for various financial spreadsheets.
- Collect information for and prepare payroll payments for employees.
- Assist the Sr. finance and admin officer in creating financial reports, budgets, and forecasts on a regular basis.
- Adhere to the organization’s financial policies and procedures.
- Assist with grant accounting, accounts payable and accounts receivable processes, including invoice processing, payment collection, and vendor management.
- Assist with bank reconciliations and petty cash management.
- Maintain accurate financial records and documentation in compliance with organizational policies and procedures.
- Support in preparing financial documents for audits and assist auditors as required.
Administration:

- Provide administrative support to various departments within the organization.
- Manage office supplies, equipment, and facilities to ensure smooth operations.
- Coordinate travel arrangements and accommodations for staff members.
- Assist with scheduling meetings, conferences, and events.
- Handle incoming calls, emails, and correspondence in a professional manner.
- Maintain organized filing systems and document management processes.
- Assist in the onboarding process for new employees, including orientation and paperwork.
General:
- Collaborate with team members to achieve organizational goals and objectives.
- Adhere to all organizational policies, procedures, and compliance requirements.
- Participate in team meetings, training sessions, and professional development activities as required.
- Perform other duties as assigned by the supervisor or management.
Qualifications, Skills and Experience:
- The applicant should hold a bachelor’s degree in finance/accounting or a related field
- Experience preferred but not essential.
- Understanding of accounting software, systems and standards.
- Understand the funding environment and funder requirements.
- Accounting skills.
- Financial reporting
- Computer skills: proficient at using excel and accounting software.
- Problem solving orientation and analytical thinking.
- Proactive in asking questions and asking for help when needed.
- Integrity, honesty & deadline oriented.
- Fresh graduate can apply.
Working Conditions:
- This position may require occasional overtime or weekend work as needed.
- Some travel may be required for meetings or events.
- The incumbent will be required to come to the head office for internal auditor monthly basis file/voucher checking.
Probation Period: 6 months (after satisfactory completion of probation period, permanent job will be confirmed based on performance).
Salary: As per organization Policy.
